Crafting collaborative workflows for those who improve lives.

Problem

Janssen’s Immunology Inflammatory Bowel Disease Global Commercial Team (IBDGCT) SharePoint site lacked user-oriented employee search engines and structured document storage, which affected the efficiency of overall team processes and performance. I was asked to improve their existing SharePoint site by migrating documents, data, and all relevant files to a new Microsoft SharePoint site to create a new organized system with sensible structure and flows for an easier user experience. As for aesthetics, it was essential to upgrade the overall visuality of the site, simplify, and craft all new elements with a Stelara look and feel.

Solution

A new intuitive portal with practical structure, flows, and total functionality. We integrated interactive sections to encourage communication and engagement with team members. My team held weekly meetings with stakeholders, analyzed the team’s needs, conducted user interview to identify problems and developed one Portal to act as a Hub for all things IBD-related.

Simply stated, we did the following:

  1. Simplified files, organized documents, resolved accessibility problems from the existing site, then moved them to the new designated site.

  2. Revamped the user experience by consolidating navigation, adding search engines, categorized assets, and brought the top utilized sectors to the homepage.

  3. Created a user-friendly interface with a Stelara look and feel.

Findings

The new SharePoint site has significantly enhanced the team's collaborative experience and overall productivity. The introduction of dedicated spaces for file storage ensures a streamlined and easily accessible repository for all necessary documents, fostering efficient teamwork.

Access to international teammates has been greatly simplified, with detailed profiles providing information on time zones, locations, images, and contact details. This accessibility not only fosters a sense of connection but also facilitates smoother communication and collaboration across geographical boundaries.

The newly integrated video section, featuring regularly updated content about Stelara, serves as an inspirational hub for the team. By automating updates, we've created a dynamic resource that keeps the team informed and engaged.

The centralized organization of all planning by date has proven to be a game-changer. Team members now have a unified platform to track and plan meetings, ensuring everyone is on the same page. This newfound synchronization has led to more effective collaborative planning, better organization, and ultimately, a streamlined path to success for the entire team.

After analyzing the site's analytics, I observed that the three pharmaceuticals pictured above garnered the highest visits and clicks. In response, I strategically placed them in a prominent section above all categories, enhancing user convenience and maximizing accessibility.
